Hospitality Tableware Briefs: Dimensions, Decoration and Repeat Orders

Organise a hospitality tableware enquiry around service needs, sample references, decoration details and repeat-order questions before comparing proposals.

A hospitality tableware brief is easier to evaluate when it describes the service rather than simply asking for a collection that looks attractive. Plates for a restaurant, pieces for breakfast service and tableware for a gift programme may look related while serving different purposes. A written brief helps a buyer compare proposals on the same basis.

Start with the service and the pieces required

List the types of plates, bowls, cups and serving pieces needed. Add preferred dimensions and explain whether each measurement is essential or approximate. Include the expected quantity range, destination and the date you would like the supplier to assess. Do not treat a requested date as a confirmed delivery commitment until the supplier has reviewed the actual order.

Make decoration instructions specific

For a bespoke tableware project, specify where a logo or pattern should appear, which artwork is approved and how colour will be checked. Confirm that you have permission to use supplied artwork. Ask for a sample reference that ties the shape, decoration and packaging together. A catalogue image can introduce a style, but it should not be the only record of a custom specification.

Ask product questions in the context of intended use

Share how the pieces will be used and ask which instructions and product documents apply. Where food-contact performance needs to be assessed, relate the evidence to the actual item, decoration and destination. The FDA's information on foodwares and lead provides general background on one potential concern; it is not certification for a supplier or product. Market-specific requirements should be confirmed for the project rather than assumed from appearance.

Plan the arrival check and future replenishment

Agree what information will accompany the shipment, how packaging will be arranged and how differences from the approved sample should be recorded. Ask about replenishment before the first order is complete: the buyer may later need additional pieces or a discussion of a changed finish. Keep the final sample record and order confirmation available to everyone responsible for receiving and using the tableware.

Browse the tableware collections and bespoke enquiry information before preparing a brief. A short list of clear requirements is more useful than a long list of unranked preferences.
